Creating a work rota for a coffee shop
Creating a work rota can be hard work but it does not have to be. When you create a work rota for a coffee shop you need to think about your staff budget, the amount of hours for your staff and fair shifts.
There are a few programs on the internet that can be used to create work rotas automatically. One of those is RotaCloud. We have set up a weekly rota for you in a spreadsheet. This work rota is very easy to use. The work rota that we created calculates the amount of hours for each shift, for each staff member and for the total weekly hours. The rota also tells you the total cost for the labour per week. Do note however that it does not calculate any NIC. |
What to think about when creating a work rota?
Think about your staff and about your budget. Design a rota that has fair shifts for everyone and pleases most people. It is your duty as a manager to be as flexible as possible with the rota. This means that you should respect staff members wishes as much as possible.
You can set up a fixed rota for a few weeks and rotate this every few months. Or have a fixed rota and move the shifts around. The important and hardest thing is to work out the staff budget. How much can you spend on the labour cost? Keep in mind though that a coffee shop with a shortage of staff does not look professional so it might be a good idea to plan extra hours in for the first few weeks.
